One add-on for your AI assistant that helps with briefs, visits, email, the calendar, finances and board minutes, in whichever AI tool the church already uses.
The MCP is an add-on that lets an AI assistant look things up in a conference office, safely. It uses an open standard the main assistants share, so the same MCP works in Claude, ChatGPT, Copilot or Codex.
It Looks, It Doesn't Touch. The only thing it can change is a follow-up task, and it shows you exactly what it will save first. The MCP never sends, moves or deletes email.
Voted Minutes Only. Board answers come from what the Executive Committee voted; drafts stay out unless you ask to compare.
Ask Like a Colleague. Name the role or the person ("as the treasurer", "Ana's inbox"). Church names work with or without macrons.
Looks upweekly briefs · calendar · email · team tasks · churches · membership reports · shared folders · finances · GST · board minutes · projects · travel · follow-ups
Ready-made requestsmorning brief · visit prep · inbox clean-up · clash check · monthly report · board pack
Sample data throughout. The churches, people, figures, emails and minutes are invented for the demonstration and labelled as sample data in every answer. Nothing comes from, or imitates, a real church record or system.
Paste this first, in a new chat. It tells the assistant whose office it is helping, whose eyes to answer through and the ground rules.
Every answer after it comes back in the right voice, warm and in plain words, so the demonstration can move from question to question without setting things up again. Say "now as the treasurer" or "as Ana" to switch roles.
Of course, happy to help. I'll answer as Pr Daniel Whitmore, using what the MCP holds for the conference office, and I'll tell you where each answer comes from. If something is overdue or clashes, I'll mention it first. I won't send, save or change anything until you say yes.
Where would you like to start? You could ask, "What's waiting for me this week?"
One question pulls a person's meetings, clashes, overdue items and unanswered email into a single brief, with what needs them first.
Each role gets its own concerns. The president sees visits and decisions, the treasurer sees returns and budget lines, the executive secretary sees reports and board items, and the executive assistant sees the inbox and the team's tasks.
Shortened: Monday's meetings, two follow-ups and the November trips.
Everything about one church in a one-page visit brief: who's who, the numbers, what's outstanding, what's going well, and what to answer before the day.
Good news comes from voted minutes only, so what you celebrate on the day is what the board actually agreed.
Shortened: six months of remittances and the church's recent emails.
Sorts an inbox into what needs a reply, what's for information, and what could be archived, then drafts the replies.
Archive candidates are newsletters, automated notices, duplicate copies and old FYI threads. Drafts use facts from the calendar, travel and church records, so they're specific, not generic.
| Archive candidates | Messages |
|---|---|
| Newsletters, from 7 senders | 95 |
| Automated notices | 45 |
| FYI older than 45 days | 67 |
| Duplicate copies (some overlap the rows above) | 25 |
Kia ora Jordan, thanks for the reminder. We're happy to confirm the hall for the youth rally on 21 November. I'll send the deposit details by Thursday, well ahead of Friday. Ngā mihi, Ana
Shortened: fifteen more drafts and two suggested inbox rules.
Looks across calendars for double bookings, and for travel that takes someone away while an event elsewhere still expects them.
Each clash comes with the overlap and a suggested fix, plus a short note to whoever needs to know.
| When | Clash | Suggested fix |
|---|---|---|
| Thu 29 Oct | Administrative committee, 09:30 to 10:30, and the Kōwhai Grove food bank opening at 10:00 | Pr Hohaia chairs from 10:00 |
| Thu 5 Nov | In Wellington for the union executive while the Executive Committee meets in Auckland | Move the committee, or join online |
Mere, could you chair Thursday's administrative committee from 10:00? I'm at the Kōwhai Grove food bank opening. Thanks, Daniel
Shortened: the full three-week event list and the affected bookings.
Lists the churches whose tithe and offerings are past due, and compares every budget line with what has actually come in or gone out.
Figures arrive ready for a chart, grouped by church, district or month.
| Church | Months | NZD |
|---|---|---|
| Pōhutukawa Point | August, September | 103,224 |
| Kōwhai Grove | September | 42,824 |
| Horoeka Hill | September | 20,886 |
| Line | Budget | Actual | Variance |
|---|---|---|---|
| Tithe (income) | 4,397,000 | 4,082,431 | −7.2% |
| Evangelism | 252,000 | 295,000 | +17.1% |
| Travel | 81,000 | 98,800 | +22.0% |
| Property and maintenance | 315,000 | 233,400 | −25.9% |
Shortened: the chart, three steady budget lines and reminder drafts for each church.
Finds an agenda item and answers from the version the Executive Committee voted.
Drafts are working papers. They stay out of the answer unless you ask to compare them, and even then they're labelled as drafts.
$172,500 for the youth camp lodge roof: $120,000 from the capital reserve and $52,500 from the camp development fund, subject to a second quote by 30 November.
| Draft, for comparison | Proposed |
|---|---|
| A, 11 September | $210,000 from the capital reserve |
| B, 14 September | $185,000, subject to a second quote |
| C, 16 September | $165,000, phased over two years |
No. The digital tools and AI policy was referred to the 5 November meeting for more work on how member data is protected. Two drafts exist; neither is policy.
Brings together matters arising, the finance position, overdue reports and funding requests, and lays them out as a formal pack.
Each item for decision gets a draft motion. The MCP supplies the facts; the executive secretary edits and owns the pack.
| Item | Draft motion |
|---|---|
| Digital tools and AI policy | To adopt draft B, keeping member data inside the church's own approved systems |
| Ruru Valley hall roof, $48,000 | To approve in principle, subject to a second quote |
| Rimu Park cooking classes, $2,800 | To approve from the community projects fund |
Shortened: cover page, agenda, appendices and the overdue reports table.
Every voted decision carries its follow-up actions: who owns each one, when it is due, and whether it is done.
The same answer reads the team's task sheet, so a decision and the work behind it show up together.
| Item | Action | Owner | Due |
|---|---|---|---|
| Relocation allowance | Update the policy document to $8,000 | Pr Mere Hohaia | Overdue 25 Oct |
| Food bank grant | Pay $15,000 to Kōwhai Grove | Grant Lindqvist | 29 Oct |
| AI policy | Revised draft for 5 November | Pr Mere Hohaia | 30 Oct |
14 open tasks, 4 overdue, 2 blocked. Pōhutukawa Point's new bank signatories wait on a church treasurer; the school camp enquiry waits on March availability.
Searches the shared folders by church or subject and returns the latest version, with where it lives and who wrote it.
Each answer respects the folder's permissions. A document someone can't open is never quoted to them; the MCP only says that one exists.
$48,000 including GST, valid until 31 December. One quote only, so the board will want a second.

One matching document exists, but it is restricted to the Executive Secretary and the President, so I can't show it to you.
Adds up the quarterly church reports by district or for the whole conference, and prepares the two-monthly GST return from the accounts.
Both check the figures as they go: reports that don't add up, totals that differ from the register, duplicates and missing invoices. The sample register stands in for the membership list from ACMS.
22 of 25 reports in. Conference membership 2,367 → 2,422, with 68 baptisms and 29 professions of faith.
GST on sales $2,730.00, on purchases $1,333.50, net $1,396.50, due 28 November. Fix first: INV-2241 is entered twice, BILL-893 has no tax invoice, and INV-2250 was banked $57.50 short.
Records a task against a person and, if relevant, a church.
It's the only thing the MCP can change, and it always shows a preview of exactly what it will save before it saves anything.
| Owner | Ana Faleolo |
| Task | Send Mānuka Valley the Q3 report form |
| Church | Mānuka Valley |
| Due | Thursday 29 October |
Saved for Ana Faleolo, due Thursday 29 October. It will appear in her morning brief.
The MCP uses an open standard that the main AI assistants all support, so it isn't tied to one company.
The church can choose its AI tool, or use more than one, without rebuilding anything. The ready-made requests come with it, so a board pack follows the same steps everywhere.
| Assistant | How |
|---|---|
| Claude | Added once in settings; the ready-made requests appear in the + menu |
| ChatGPT | Added as an app for the whole team |
| Microsoft Copilot | Added to a Copilot agent by the IT team |
| Codex | Added in its settings |
Three things change: who can sign in, where the data comes from, and who signs off.
What the MCP does, and its safeguards, stay the same: it only looks, it asks before saving a follow-up, it uses voted minutes only, and it never sends email for anyone.
| Step | What happens |
|---|---|
| 1. Agree | Choose two or three jobs to start with, with the office and the technology team; agree the data rules together |
| 2. Secure | Everyone signs in with their usual church account and sees only what their role allows |
| 3. Connect | Link the real calendars, email and shared folders, Microsoft 365 first and then Google Drive, one at a time |
| 4. Pilot | One office, a few weeks, look-only, with every lookup recorded |
| 5. Review | Measure time saved and accuracy, then decide together whether to widen it |
Timelines and costs come after step 1.
"As the treasurer" or "Ana's inbox" brings back the right information.
Board answers come from voted minutes. Ask for drafts only when you want to compare.
The MCP writes replies for you to check. Sending stays with a person.
Before saving a follow-up, the MCP shows exactly what it will save. Say yes only when it's right.
A morning brief takes seconds and catches clashes before they bite.
Every answer says where it came from. Today, that's sample data.
